Task Template Manager

Manage task templates across your Crowdin organization from a single interface.

Why this app exists

Standard Crowdin task templates allow managers to pre-select target languages and assignees when creating tasks. This reduces repetitive configuration.

However, these templates are project-specific. If an organization manages multiple projects with the same translation workflow, the manager must manually create and maintain the same template in every individual project.

This app moves template management to the organization level. It allows you to:

1. Clone Templates: Create a template once and copy it to multiple projects.
2. Bulk Edit: Update languages or assignees in a template and sync changes to all associated projects.
3. Invite Linguists: When applying a template to a project, the app checks if the assigned users or teams are members. If not, it invites them to the project immediately.

Features

• Organization Dashboard: View all task templates across all projects in a single list, grouped by template name.
• Bulk Distribution: Copy an existing template to multiple selected projects.
• Bulk Updates: Edit template settings (languages/assignees) and apply the changes to all projects using that template.
• Automated Invitations: Triggers invitations for missing users or teams during template distribution. If an assignee is not in the target project, they are invited with the necessary permissions (Translator/Proofreader).
• Language Handling: Automatically adds target languages to projects if they are required by the template but missing from the project settings.
• Bulk Deletion: Remove templates from multiple projects simultaneously.

How to use

1. Install: Add the app to your organization and grant access to the projects you intend to manage.
2. Open: Open Task Template Manager from the organization settings menu.
3. Browse: View existing templates. Clicking a template name displays the list of projects where it is currently active.
4. Distribute/Update:
   • Use in Projects: Select a template to copy it to additional projects.
   • Edit: Modify a template's languages or assignees and sync the update to all linked projects.
5. Create: Select "New Template" to define a workflow and push it to multiple projects immediately.

⚠️ Note: When the app invites users or teams to a project to fulfill a template assignment, they will receive access to the project's content in their assigned language(s).
